  • Professional information, such as your role, sector, experience, learning objectives, professional interests and organisation type.

  • Images, audio or video where an event, testimonial or session is photographed or recorded. We will provide specific information before making a recording that identifies participants.

  • Accessibility, dietary or health-related information that you voluntarily provide so that we can make reasonable arrangements. This may be special category information and receives additional protection.

Please do not send us confidential personal information about another person unless you are authorised to do so and have given them appropriate privacy information.

How we obtain personal information

We may obtain information:

  • directly from you, for example through a form, email, booking, account, event, survey or conversation;

  • from your employer, charity, nonprofit or another organisation that books a service or nominates you as a participant;

  • automatically when you use the website or e-learning service, through cookies, logs and similar technologies;

  • from service providers involved in bookings, payments, course delivery, communications or administration; and

  • from referrals or publicly available professional sources where it is reasonable and lawful to use the information for business-to-business contact or due diligence.

When an organisation gives us participant details, we ask it to make this policy available to the participant. Where required, we will also provide or point the participant to the relevant privacy information no later than our first direct communication.

Why we use personal information and our lawful bases

We only use personal information where data protection law allows us to do so. The lawful basis depends on the purpose and circumstances. Our main purposes and bases are set out below.

Enquiries and proposals. To respond to questions, discuss requirements, arrange an introductory conversation and prepare quotations or proposals. We rely on steps requested before entering into a contract and, for business contacts, our legitimate interests in developing and administering our services.

Bookings and service delivery. To register learners, create accounts, deliver e-learning and live training, provide coaching or consultancy, administer webinars, communicate service information and issue certificates. We rely on contract where you are the customer. Where an organisation books for you, we generally rely on our legitimate interests and those of the booking organisation in arranging and delivering the service.

Course and learning administration. To record attendance, progress, assessment, feedback and certification, maintain the integrity of learning records, improve delivery and answer verification requests. We rely on contract where you are the customer, legal obligation where a law applies, and our legitimate interests in maintaining reliable learning and certification records and meeting relevant accreditation standards.

Corporate client reporting. Where a client organisation has booked or funded your participation, we may provide it with proportionate information such as attendance, completion, assessment outcome or certification status when this is necessary, expected and explained to you. We generally rely on legitimate interests in fulfilling the booking arrangement; contract also applies where you personally contracted with us.

Payments, accounts and business records. To process payments, issue invoices, maintain accounting and tax records, manage debts and prevent fraud. We rely on contract, legal obligations and legitimate interests.

Customer service and relationship management. To administer our relationship with you or your organisation, keep contact details accurate, handle queries and improve our services. We rely on contract and legitimate interests.

Marketing and useful updates. To send news, resources, course information, event invitations or related offers where you have requested them or where electronic-marketing rules otherwise permit. We rely on consent or legitimate interests as appropriate, alongside the Privacy and Electronic Communications Regulations. You can opt out at any time.

Website operation and improvement. To run, secure and troubleshoot the website and learning services; understand how they are used; improve content and performance; and remember user choices. We rely on legitimate interests and, where consent is required for cookies or similar technologies, consent.

Safety, legal claims and compliance. To protect learners, clients, our business and others; establish or defend legal claims; investigate misuse; respond to regulators or law-enforcement bodies; and meet legal duties. We rely on legal obligations and legitimate interests.

Special category information

We do not routinely seek special category information. If you provide health, disability, dietary, religious or similar information so that we can make an accessibility, safety or participation arrangement, we will limit its use to that purpose, restrict access and delete it when it is no longer needed. In addition to an ordinary lawful basis, we will use an applicable special-category condition, normally your explicit consent where consent is appropriate. You may withdraw consent, although this will not affect processing that was lawful before withdrawal. In a genuine emergency, another legal condition may apply.

If you do not provide requested information

Information marked as required is normally needed to respond to an enquiry, complete a booking, provide a service, issue a certificate or meet a legal obligation. If you do not provide it, we may be unable to proceed. Marketing choices and most optional profile information are voluntary.

Cookies and similar technologies

Our website and learning services may use cookies, pixels, local storage, scripts and similar technologies. Strictly necessary technologies support functions such as security, account access, shopping baskets, payment flows and remembering privacy choices. Other technologies may support preferences, audience measurement, service improvement, embedded media or marketing.

We provide clear information and obtain consent before using non-essential technologies where consent is required. Where current law provides an exemption, we will use it only if its conditions are met and will provide any required information and choice. You can use the cookie settings tool to change your preferences. Blocking some technologies may affect optional website features.

A current list of technologies, providers, purposes and durations should be available through our cookie settings tool and/or Cookie Notice: [insert link to cookie notice or cookie settings].

Direct marketing

We may send relevant updates about Project Management for Charities where you have asked us to do so or where the law otherwise permits. We do not require you to accept marketing as a condition of buying a service. Every electronic marketing message will provide a straightforward way to unsubscribe, and you can also contact us at [insert privacy email address]. We may retain a minimal suppression record after you opt out so that we can respect your choice.

Photographs, testimonials and recordings

If a live or virtual session will be recorded, or if identifiable photographs, video, audio or testimonials will be used for publicity, learning or quality purposes, we will provide additional information in advance. We will explain the purpose, intended audience, retention period and lawful basis, and will seek consent where consent is the appropriate basis. Participants should not record or publish other people’s contributions without permission.

Who we share personal information with

Where necessary for the purposes described above, we may share information with:

  • website-hosting, e-learning, booking, customer-management and technical-support providers;

  • payment processors, banks, accountants and bookkeeping providers;

  • email, document-storage, survey, video-conferencing and webinar providers;

  • approved training organisations, accreditation bodies, examination institutes or certificate-verification services where relevant to the service;

  • the client organisation, employer or funder that booked your participation, but only to the proportionate extent described in this policy or an event-specific notice;

  • professional advisers, insurers, auditors and IT or cybersecurity specialists;

  • government bodies, courts, regulators, law-enforcement bodies or other parties where disclosure is legally required or necessary to protect legal rights; and

  • a purchaser, successor or adviser involved in a proposed sale, merger, restructuring or transfer of the business, subject to appropriate confidentiality and legal safeguards.

Service providers that process information for us are required by contract to protect it and use it only for authorised purposes. Some recipients act as independent controllers and apply their own privacy notices. We do not sell your personal information.

International transfers

Some technology and service providers may store or access personal information outside the UK. Before making a restricted transfer, we will use a lawful transfer mechanism and take proportionate steps to protect the information. Depending on the destination and provider, this may include UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another mechanism permitted by law. You may ask us for further information about the relevant safeguards by contacting [insert privacy email address].

How long we keep personal information

We keep information only for as long as reasonably necessary for the purpose for which it was collected, including contractual, accreditation, tax, accounting, insurance, safeguarding and legal-claims requirements. We consider the nature and sensitivity of the information, the risk of harm, the purpose, any applicable limitation period and whether the same aim can be achieved with less information.

Unless a different period is required or justified, our intended working periods are:

  • Record category

  • Intended retention period

  • Enquiries and proposals

  • Normally two years after the last meaningful contact.

  • Customer, contract, invoice and accounting records

  • Normally six years after the end of the relevant financial year or customer relationship, as applicable.

  • Course enrolment, attendance, assessment and completion records

  • Normally six years after completion, unless a contract, accreditation rule or certificate-integrity requirement justifies a different period.

  • Minimal certificate-verification records

  • For as long as reasonably necessary to verify a certificate and prevent misuse, with the retained fields kept to a minimum.

  • Coaching and consultancy working notes

  • Normally two years after the engagement ends, unless agreed otherwise or required for a dispute, insurance or legal reason.

  • Session recordings

  • Normally deleted within 90 days unless a different period is explained before recording or the recording forms part of purchased learning content.

  • Marketing records

  • Until you opt out or the information is no longer useful; a minimal suppression record may then be kept so we do not contact you again.

  • Website analytics and technical logs

  • According to the configured tool and security need, normally no longer than 14 months for identifiable analytics data and 12 months for routine security logs.

  • Data protection complaints and related correspondence

  • Normally six years after closure where this is proportionate for accountability and legal claims.

  • Accessibility or health-related arrangements

  • Deleted as soon as the arrangement and any necessary follow-up are complete, unless lawfully required for longer.

  • We may keep information longer where necessary for an active dispute, investigation or legal requirement. Where appropriate, we delete it securely or anonymise it so that it can no longer identify anyone.

Information security

We use proportionate technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. These may include access controls, secure accounts, encryption where appropriate, backups, supplier checks and staff or contractor confidentiality requirements. Access is limited to people who need the information for authorised purposes. No internet or storage system is completely secure, but we assess risks and improve safeguards when appropriate.

Your data protection rights

Depending on the circumstances, you may have the right to:

  • ask for access to your personal information and related information about how it is used;

  • ask us to correct inaccurate or incomplete information;

  • ask us to delete information where there is no valid reason to continue using it;

  • ask us to restrict how information is used in certain circumstances;

  • receive certain information in a structured, commonly used and machine-readable format, or ask for it to be sent to another controller, where the right to portability applies;

  • object to processing based on legitimate interests, including profiling related to those interests;

  • object at any time to direct marketing;

  • withdraw consent at any time where we rely on consent, without affecting earlier lawful use; and

  • complain about how we use your information.

These rights are not absolute and exemptions may apply. To exercise a right, contact [insert privacy email address]. We may ask for proportionate information to confirm your identity or authority to act for someone else. We normally respond without undue delay and within one month after receiving any information reasonably required to verify the request. There is normally no fee, although the law permits a reasonable fee or refusal in limited cases.

Automated decision-making

We do not currently make decisions about you based solely on automated processing where the decision would have a legal or similarly significant effect. If this changes, we will provide the information and safeguards required by law.

Data protection complaints

If you are concerned about our use of your personal information, please submit a complaint through [insert link to electronic complaint form] or email [insert monitored privacy email address]. We will acknowledge a data protection complaint within 30 days, take appropriate steps to investigate it, keep you informed where appropriate and provide an outcome without undue delay.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority. We would welcome the opportunity to address your concern first, but this does not affect your right to contact the ICO.

Children

Our website and services are primarily intended for adult professionals. We do not knowingly use the website to collect personal information directly from children. If a service is offered to, or is likely to be used by, anyone under 18, we will assess the additional protections required, provide suitable privacy information and obtain parental or guardian involvement where the law and circumstances require it.

Third-party websites and services

Our website may link to websites, social-media services, embedded content or platforms operated by others. Those organisations may collect information as independent controllers. Their privacy notices and settings apply to their use of information, and we are not responsible for their privacy practices.

Changes to this policy

We may update this policy to reflect changes to our services, suppliers, technology or legal obligations. The latest version will be published on the website with a revised “last updated” date. If a change materially affects how we use information, we will take reasonable steps to bring it to the attention of affected people where required.
